Automation for Tradies: 12 Easy Wins You Can Set Up Yourself
Part of our Small Business Automation guide: what to automate first and the 10 easiest wins.
The short version
If you’re a plumber, sparky, builder, landscaper or any other tradie, your day is spent on the tools, not at a desk. That’s exactly when phone calls go unanswered, quotes go cold and invoices sit unpaid. Automation fixes those gaps: you set up a simple rule once, and it does the follow-up for you while you work.
You don’t need to be technical. Each automation below has a free step-by-step guide written for complete beginners, and most take 15 to 30 minutes using tools like Twilio (for texts), Zapier or Make (to connect your apps), and the job or accounting software you already use. Some also have a ready-made US$19 template pack if you’d rather skip the build.
Where to start
Start with the job that costs you the most money. For most tradies that’s missed calls: a caller who can’t reach you usually rings the next tradie on Google. After that, quote follow-ups and review requests bring in the next biggest wins.
A simple order that works for most trade businesses:
- Text back every missed call.
- Follow up every quote.
- Ask for a Google review when a job is done.
- Chase overdue invoices automatically.
- Sort out the admin (job photos, reminders, enquiries).
Never lose a job to a missed call
- Missed-call text-back for trades: when you can’t answer, the caller gets a text from your business within seconds, set up with Twilio and Zapier or Make.
- Missed call text back message examples for tradies: copy-and-paste texts for on the tools, driving, after hours and emergencies.
- Missed call text back for plumbers and electricians: texts for emergencies, after hours and jobs on the tools.
- Missed call text back app: DIY vs buy: build it yourself or pay for an app, with the costs side by side.
- Auto-reply after hours: let evening and weekend enquiries know when you’ll be back.

Get more Google reviews
- ServiceM8 review request when a job is done: mark the job complete and a review request goes out a couple of hours later.

Get paid faster
- Xero automatic payment reminders: switch on Xero’s built-in reminders in about 10 minutes.
- Overdue invoice reminders (Xero/QuickBooks): friendly, firm reminders when invoices go overdue.
Cut admin and no-shows
- Automated appointment reminder texts: remind customers the day before you arrive, so someone’s home to let you in.
- Job photos to Google Drive: job photos land in a folder for each job, without sorting through your camera roll.
What tools do tradies need?
You don’t need all of these. Most tradies use two or three:
| Tool | What it does | Do I need it? |
|---|---|---|
| Twilio | Sends and receives texts from a business number | Yes, for any text automation |
| Zapier or Make | Connects your apps with “when this happens, do that” rules | Yes, pick one. n8n is a cheaper self-hosted option if you’re comfortable with tech |
| Google Business Profile | Your Google listing, where reviews show up | Yes, for review requests |
| ServiceM8, Tradify or similar | Job management | Handy, but not required |
| Xero or QuickBooks | Invoicing and reminders | Use whatever you already have |
DIY or ready-made?
Every guide above is free and walks you through the setup click by click. If you’d rather not build from scratch, our US$19 template packs give you a ready-to-import Make blueprint, an n8n workflow, a Zapier build sheet and copy-ready messages:
- Missed-call text-back for trades pack
- Google review requests pack
- Overdue invoice reminders pack
- Web form leads instant reply pack
Consent and local rules
A text that replies to someone who just called you isn’t marketing. Follow-ups and review requests should include your business name and a way to opt out (“Reply STOP to opt out”), and you must stop when someone opts out. Sending marketing messages needs opt-in consent (TCPA in the US, the Spam Act in Australia, PECR in the UK, CASL in Canada). This isn’t legal advice.
FAQ
What should a tradie automate first?
Missed calls. A text back within seconds keeps the caller from ringing the next tradie, and it takes about 20 minutes to set up with Twilio and Zapier or Make.
Do I need to be good with computers?
No. Each guide is written for complete beginners, with every click spelled out. If you can set up a Facebook page, you can set these up.
How much does it cost to run?
Most of these run on free or low-cost plans. Texts through Twilio cost a few cents each, and Zapier and Make both have free plans that cover a small trade business to start with.
Will it work with ServiceM8 or Tradify?
Yes. ServiceM8 connects to Zapier and Make, and our ServiceM8 review request guide shows how. Most other job management apps connect the same way.
Is it legal to text customers automatically?
Replying to a missed call is fine. For follow-ups and reminders, include your business name and an opt-out, and only send marketing texts to people who have agreed to them. Check the rules in your country.
