Automation for Salons and Clinics: Easy Wins You Can Set Up Yourself
Part of our Small Business Automation guide: what to automate first and the 10 easiest wins.
The short version
If you run a salon, barbershop, beauty studio, spa, physio, dental or allied health clinic, most of your day is spent with clients. That’s when the phone rings out, people forget their bookings and happy clients leave without a review. Automation helps with those gaps: you set up a simple rule once, and it does the follow-up for you.
You don’t need to be technical. Each guide below is free and written for complete beginners. Most use tools like Twilio (for texts), Zapier or Make (to connect your apps), and the booking system you already use. Some also have a US$19 template pack if you’d rather not build it yourself.
Where to start
For most salons and clinics, no-shows cost the most, so start with reminders. Then add review requests and texts for missed calls.
- Send a reminder before every appointment.
- Confirm every new booking.
- Ask for a Google review after the visit.
- Text back callers you miss.
- Tidy up the rest (after-hours replies, staff reminders, birthday offers).
Cut no-shows
- Appointment reminders to cut no-shows: reminders by email or text before every booking.
- Automated appointment reminder texts: a text the day before, with an easy way to reschedule.
- New booking to calendar plus SMS confirmation: every new booking gets a confirmation and lands in your calendar.
Get more Google reviews
- Clinic appointment to Google review (Cliniko): ask for a review after the appointment.
- Automatic Google review requests: send your review link after each visit.
- Automatic review request text: ready-to-use review request texts.
Never miss a booking call
- Missed-call text-back: when you’re with a client, the caller gets a text from your business.
- Missed call text back with Twilio and Make: the same setup, step by step in Make.
- Auto-reply after hours: tell evening and weekend enquiries when you’ll be back.
Bring clients back and run the place
- Customer birthday offers (opted-in only): a small birthday treat for clients who signed up for it.
- Staff roster reminders: shift reminders go out to staff on their own.
- Social posts from a spreadsheet: plan a month of posts in one sheet.
What tools do salons and clinics need?
You don’t need all of these. Most use two or three:
| Tool | What it does | Do I need it? |
|---|---|---|
| Your booking system (Cliniko, Fresha, Timely, Calendly or similar) | Takes bookings | Use what you already have. Check its built-in reminders first |
| Twilio | Sends and receives texts | Yes, for text automations your booking system can’t do |
| Zapier or Make | Connects your apps with “when this happens, do that” rules | Yes, pick one |
| Google Business Profile | Your Google listing, where reviews show up | Yes, for review requests |
DIY or ready-made?
Every guide above is free. If you’d rather not build from scratch, our US$19 template packs give you a ready-to-import Make blueprint, an n8n workflow, a Zapier build sheet and messages already written. Each includes a step-by-step guide.
Consent, privacy and local rules
Reminders and booking confirmations are service messages, not marketing. Keep them about the appointment. Review requests and birthday offers should include your business name and a way to opt out (“Reply STOP to opt out”), and marketing texts need opt-in consent (TCPA in the US, the Spam Act in Australia, PECR in the UK, CASL in Canada). Clinics: keep health details out of texts and emails. Say “your appointment”, not the treatment. This isn’t legal advice.
FAQ
What should a salon or clinic automate first?
Appointment reminders. They’re simple to set up and help cut no-shows. Check your booking system first, because many have reminders built in.
My booking system already sends reminders. What else is worth doing?
Review requests after each visit and texts for missed calls. Most booking systems don’t do those well on their own.
Do I need to be good with computers?
No. Each guide is written for complete beginners, with every click spelled out.
Is it OK to text clients automatically?
Reminders and confirmations about a booking are fine. For review requests and offers, include your business name and an opt-out, and only send marketing to people who agreed to it.
