Automation for Real Estate Agents: Easy Wins for Small Agencies

Part of our Small Business Automation guide: what to automate first and the 10 easiest wins.

The short version

If you’re a real estate agent or run a small agency, you spend a lot of the week away from your desk: at open homes, inspections and appraisals. Calls get missed, website and Facebook enquiries sit unanswered, and follow-ups slip. Automation helps with those small jobs. You set up a simple rule once (“when this happens, do that”), and it runs in the background.

You don’t need to be technical. Each guide below is free and written for complete beginners. Most use Zapier or Make (to connect your apps), Twilio (to send texts) and Google Sheets. Some have a US$19 template pack if you’d rather not build it yourself.

Where to start

For most agents, missed calls and slow replies to new enquiries are the first things worth fixing. Then add inspection reminders and review requests.

  1. Text back callers you miss while you’re at an open home.
  2. Reply to website, portal and Facebook enquiries straight away.
  3. Confirm and remind people about inspections and appraisals.
  4. Ask happy buyers, sellers and landlords for a Google review.
  5. Check in politely with past enquiries who went quiet.

What tools do real estate agents need?

You don’t need all of these. Most small agencies use two or three:

ToolWhat it doesDo I need it?
Your CRM (whatever your agency already uses)Holds your contacts and listingsUse what you have. Check its built-in automations first
Zapier or MakeConnects your apps with “when this happens, do that” rulesYes, pick one, for anything your CRM can’t do
TwilioSends text messages from a business numberOnly if you want to send texts
Google SheetsA simple place for leads and numbersHandy for reports and lead lists
Google Business ProfileYour Google listing, where reviews show upYes, most agents have one already

DIY or ready-made?

Every guide above is free. If you’d rather not build it from scratch, our US$19 missed-call text-back template pack and our US$19 web form leads instant reply pack come ready to import. Includes a step-by-step guide.

A reply to someone who just called or enquired is usually fine. Ongoing follow-ups, “just listed” texts and newsletters count as marketing in many countries, so only send them to people who opted in, and include a way to opt out (the Spam Act in Australia, TCPA and CAN-SPAM in the US, PECR and UK GDPR in the UK, CASL in Canada). Keep buyer and seller details only as long as you need them. This isn’t legal advice.

FAQ

What should a real estate agent automate first?

Missed-call text-back. You’re often at an open home or inspection when the phone rings, and a quick text keeps the caller from moving on to the next agent.

Will this work with my real estate CRM?

Often, yes. Many CRMs connect to Zapier or Make, and some have their own automations built in. Check your CRM’s settings first, then use Zapier or Make for anything it can’t do.

Can I text leads from property portals?

You can reply to people who enquired with you. For ongoing marketing texts, only message people who agreed to hear from you, and always include a way to opt out.

Do I need to be good with computers?

No. Each guide is written for complete beginners, with every click spelled out.
